Difference between Email Fax and Internet fax

In the days when internet is ubiquitous there is thin line between intenet faxing and email faxing. Like email and internet are joined at the hip, so are internet fax and email fax.

In the old days when fax machines were the only way of sending faxes, the fax machine needed to be hooked to a phone line. And user will have a dedicated line for faxing. Those days are long over and fax machines are not that hot. Many online fax provider offer services using which you send and receive faxes online. And how you use the internet to send and receive faxes varies slightly between online fax providers.

Email Faxing

When your email is the primary tool to send and receive faxes its called email faxing. To send a fax you simply attach a document you want to fax to an email and send it to a special email id provided by your vendor. Also some vendors provide you a plug-in to integrate faxing right from within your Microsoft document. After you install the plug-in, you will have a menu option in your MS Word or MS Excel. When you have a document open, you click on this menu option to fax it directly from the document; you don’t need to go to your email application. This is a very handy and powerful tool.

Some email fax services like RingCentral gives you full Microsoft Office integration.

Incoming faxes are sent your email with the fax attached. You click on the attachment and view it, save it.

Email faxing is by far the most popular online faxing method due to its ease.

Internet Faxing

When you need to log on to your fax provider’s portal/website/member area to send and receive fax, this kind of online faxing is termed as Internet Faxing. You log on to your provider’s website. Then from there you send faxes. All your incoming faxes are also stored there. You download them to PC to save.

The main disadvantage of this type of faxing is the need to log on to the portal to get access to faxes and the need to download faxes to the PC for storage. Providers will store your faxes online for a certain period of time (varies between providers), after which they get deleted.

Best of both

Some fax providers offer you both Internet faxing and email faxing. Again our favorite is RingCentral, which offers both email and internet faxing. RingCentral emails you the fax plus stores your faxes on their website for 30 days.
